Cordova Pavilion Rental Agreement
By your agreement with these terms and conditions, you represent that you are 18 years or older (21 years of age if beer or wine will be present at your event) and that you are authorized to make the reservation on behalf of the group you have listed. You further agree to assume full responsibility for the acts, negligence or omissions of all visitors, occupants, activities or actions while utilizing said facilities.You also agree to indemnify and hold harmless Marion County, Marion County Conservation Board, all of its employees, Board Members, agents and volunteers for any and all claims that may arise from the use or occupancy of this County facility.
Additionally, you agree that you have read and understand the CANCELLATION and REFUND POLICIES concerning this reservation for this FACILITY; which, are outlined at the bottom of this agreement.
RENTAL FEES
$250.00 per Day (Non-Refundable)
You are reserving a facility in a Marion County Conservation Board park. ALL COUNTY PARK RULES AND STATE LAWS ARE ENFORCED. Click on the RULES & REGULATIONS link on the Home page to view a full listing of regulations for the Marion County Conservation Board. Contact the Park Ranger listed on your reservation confirmation email if you have any questions about park rules, policies or special requests.
Failure to clean up the facility or surrounding area as outlined, or failure to comply with park rules or state laws may result in enforcement action. Marion County Conservation may take any legal action necessary to recover damages to county property.
MUSIC
Live bands must be approved in advance by the Marion County Conservation Board, the MCCB Director or Park Ranger. The MCCB or its appointed representative reserves the right to control volume of any music or other sound emanations from the pavilion area.
TABLES
30 picnic tables are provided in the Pavilion. If a Pavilion renter chooses
not to use the provided tables and instead opts to provide their own tables and
chairs; be it known, that the Pavilion renter will be responsible to remove the
provided tables and replace them back in the Pavilion at the conclusion of the
renters function.
CLEAN-UP
Renters are required to clean up the facility and grounds and return them to the condition you received them. All decorations, temporary signs and the items used to attach or display them will be removed and disposed of properly. Plan to have the facility cleaned and people departed prior to the Cordova Park closing time.
VISITORS
All visitors must depart the park by 10:30 PM.
SMOKING
Marion County is a smoke-free environment. Smoking is prohibited in all buildings.
PARKING
Parking is confined to designated parking areas. Parking or driving off roadways or parking areas is prohibited.
DIRECTIONAL SIGNS & DECORATIONS
Temporary, free standing directional signs are allowed – not to be attached to park furniture, signposts or other facilities. Small stakes for temporary signs may be used and must be removed at conclusion of the event. Decorations are allowed as long as they are free standing or not affixed in a manner that would damage any surface of the facility, floor of the facility or the facility itself (tape, tacks, staples that may cause damage to the facility are prohibited. The use of painters tape, scotch tape or string is recommended). Special care should be taken with balloons so that they do not “escape”; also, the intentional release of balloons, aerial luminaries or any other type of free floating aerial devices are prohibited.
BEER AND WINE
Only beer with an alcohol content of 5% or less by weight and wine with an alcohol content of 17% or less by weight may be consumed in county parks. Drinking of these beverages is not permitted on roads or in parking areas. Hard liquor and wine with alcohol content in excess of 17% by weight or other alcoholic liquors are NOT to be consumed in county parks. Keg beer is NOT allowed.
REFUSE
All refuse must be placed in the provided dumpsters located nearest your reserved facility.
PETS
All Pets must be on a leash at all times, free roaming animals are prohibited (with exception of service animals).
RESERVATION MODIFICATIONS (INCLUDING DATE CHANGE)
In order to make any modification to an existing reservation, the request must be received 14 days prior to the original reservation date. If the request is a date change, the new date must be within 6 months of the existing date. A date change must be used for the same type of facility in a Marion County Conservation Park. All reservation modifications must be made by calling the Cordova Park Office. Any modifications to an existing reservation may be assessed a $20 administrative change fee. A reservation holder has only ONE opportunity to reschedule their original reservation.
DAMAGE & CLEAN-UP DEPOSIT
Pavilion reservations require a refundable $150 Cleaning/Damage Deposit check, sent no less than 14 days; and, no more than 30 days prior to the event reservation date. It is your responsibility to ensure that this deposit is provided on time. The Cleaning/Damage Deposit of $150 for the pavilion rental should be mailed to: Cordova Park, 1378 Hwy G28, Otley, IA 50214. Deposits will be shredded if there are no issues with damage, clean up, late departure, and other rules and regulations are followed.
CANCELLATION POLICY
Consider this policy prior to purchasing a reservation.
Please understand at the time of booking your reservation you immediately prohibit other people from reserving and utilizing the pavilion; therefore, they will go elsewhere to locate a facility for that date.
Name of person on the reservation will be the only person who can cancel or reschedule a facility reservation. All cancellations or requests to reschedule date of reservation cannot be done online and must be made by calling and /or emailing the Cordova Park Office, (641) 627-5935, at least 14 days in advance of the original event reservation date.
If a rescheduling of a reservation is needed, that rescheduled date must be submitted and approved by the Park Ranger at least 14 days prior to the original event reservation date. A change fee of $20 may be assessed per reservation. A reservation holder has only ONE opportunity to reschedule their original reservation.
If a facility reservation is cancelled by Marion County Conservation Board due to a natural disaster or if by some means the facility is unusable, a full refund will be issued to the person that made the original reservation.
REFUND POLICY
Consider this policy prior to purchasing a reservation.
100% of the Pavilion reservation fee and the $4.00 "Processing Fee" is NON-REFUNDABLE.
The Cleaning/Damage Deposit is refundable. The Park Ranger has final authority on the amount of the fee that will be refunded, depending on the condition of the shelter and surrounding area upon completion of the event.
